Increasingly Human Resource Managers in the modern organisational environment have to pay attention to the requirements of Data Protection Legislation and Data Control. With the optional Audit Trail Module SDMS V HRPersonnel for Windows now ensures that the personnel function is able to account for all changes to its personnel and establishment data. The module tracks all changes to the personnel data, when the change was made and by whom, thereby providing full traceability, accountability and security.
Effective Auditing Solution
The process and procedures underlying the collection of data to be entered into SDMS V HRPersonnel for Windows is critical in ensuring the validity and accuracy of personnel data. This must of course be backed up by appropriate user training and an appreciation by all HR Staff of the need for accountability in the use of data. In most HR Systems, security and password control and assignment assume that everyone is properly trained and committed to ensuring that data is accurate. Unfortunately this cannot always be safely assumed. Now appropriate levels of accountability can be achieved with SDMS V HRPersonnel data Audit Trail Module. This module uses the latest in Pervasive Database Technology – AuditMaster™.
The Audit Log
Simple and easy to use the SDMS V HRPersonnel Audit Trail Module features three components to monitor and track HRP data changes. These are the Audit Log Event Handler, Audit Log Database and the Audit Log Viewer.
The Audit Log Event Handler is an all seeing “flight recorder” for HRP data, writing all changes made in HRP data to an audit trail database. When SDMS is running, it is running, ensuring a complete record.
The Audit Log Database holds all audit information such as user ID, network station, time, date, table, field and operation type such as change, edit, create etc. The Audit Log holds both the original and the new record.
The Audit Log Viewer enables someone with appropriate security rights to verify past data and to analyse patterns. It includes a GUI for building queries. The Audit Module allows reports to supply evidence of compliance. In addition the Viewer allows the module to be configured and create alerts on future changes in the data. Alerts such as emails can be issued when specific data items are modified for example.
