Keeping track and up to date with employee attendance at work, lateness and holidays has never been easier than with the SDMS T & A Module. It reduces the administrative costs and delays in T & A administration, and where you need to draw attention to Employee or Line Managers of recurring lateness or absence patterns, the software will automatically trigger reminders and alarms, with memos or emails! In addition, the in-built Administration Checklists, Quick Administrators and Business Rules ensure these tasks are never forgotten or overlooked.
At a single glance, all aspects of an Employee Time and Attendance History can be seen: Weekly Attendance, Lateness, Sickness and Overtime. Click on the Yearly Calendar and see a colour coded year view of employees attendance and absence profiles.
Attendance can be recorded in Weekly or Daily formats. A weekly format, which holds week number and start of week date, allows the number of days with total hours worked, total hours late with number of occasions, and total hours absent with number of occasions to be logged. A summary of net hours worked in the preceding 17 week period is autocalculated to provide compliance with the EU Working Time Directive. The daily format allows: the date, start/finish time, breaks, type of work attendance (e.g. working at home), total hours worked and breaks to be entered with summation to weekly records. Records of lateness with interviews or return to work interviews can be held. Weekly attendance records allow either summary for overtime, lateness or holidays or alternatively detailed daily records.
The software provides alternatives for managing time and attendance. For example, rather than maintaining full attendance records, lateness records only can be held, the software comparing them with contractual details, working hours, work pattern and rules for deductions or additional pay factors and then taking these into account in processing hours worked to payroll. Absences can similarly be recorded and compared.
Facilities for maintaining records of Statutory Sick Pay include periods of sickness related absence whether paid or not, whether linked to other periods of sickness absence, qualifying days and link letter, and amount of SSP paid.
For the many standard letter writing and office tasks in time and attendance administration the module is integrated with a range of Office Suites, including MS Office™ (2000, Office XP,2003) for the production of standard letters, mail merge and spreadsheets. It is also integrated with Outlook™, QuickAddress™ and MapPoint™ (not supplied).
The module comes with easy to use, extensive and flexible Standard Reports. The comprehensive range of standard reports provided, gives detailed analysis of Time and Attendance, such as Weekly Lateness, Absence Day Profile, Departmental Attendance Summary, Holiday Calendars, Employee Attendance Profiles and many others. Each standard report may be customised with easy to use report customisation screens. An optional Report Writer is offered for further ad hoc reporting.
